Refund Policy

General policy

AMA Quality Consulting ("Company," "we," "us," or "our") provides professional consulting, training, and digital deliverable services. Due to the nature of our work - which involves the investment of time, expertise, proprietary methodologies, and intellectual resources - all fees paid to AMA Quality Consulting are non-refundable once a service agreement is executed and/or work has commenced.

All sales are final. By engaging our services or purchasing a product, you acknowledge and agree that payments made to AMA Quality Consulting are non-refundable.

We encourage prospective clients to review all service descriptions, proposals, and agreements carefully before making payment. If you have questions prior to purchasing, please contact us - we are happy to answer them before you commit.

Retainer and ongoing consulting contracts

Monthly retainer fees. Retainer fees are billed on a recurring basis (monthly or as otherwise agreed in writing) and are non-refundable. Each billing period covers the availability of our consulting team and the reserved hours or scope defined in your agreement, regardless of whether all hours are utilized.

Cancellation of retainer agreements. You may cancel a retainer agreement in accordance with the cancellation terms set forth in your signed contract. Unless otherwise specified in writing:

  • Cancellations must be submitted in writing (email is acceptable) with a minimum of thirty (30) days' notice prior to the next billing date.
  • Fees already paid or billed for the current period at the time of cancellation notice are non-refundable.
  • No refund will be issued for any unused hours or scope remaining in a billing period.

Early termination. If a client terminates a multi-month agreement before the end of the agreed term, any remaining balance due under the contract may still be owed as outlined in the service agreement. No refund will be issued for payments already made.

Digital products and deliverables

Digital products and deliverables - including but not limited to reports, audits, assessments, templates, toolkits, and other electronic documents - are non-refundable once delivered or made available for download.

Because digital deliverables are immediately accessible and cannot be "returned," all sales are final upon delivery. If you experience a technical issue that prevents you from accessing a purchased digital product, please contact us and we will work to resolve the issue or re-deliver the product.

This non-refundable policy applies to:

  • Completed audit reports and assessments
  • Quality management templates and toolkits
  • Written analyses, white papers, and research deliverables
  • Any other electronic files or documents provided as part of a service engagement

Training sessions and workshops

Scheduled training and workshops. Registration fees for training sessions, workshops, webinars, and other educational programs are non-refundable. By registering and submitting payment, you reserve a seat or access to the program and agree to the terms of this policy.

Cancellations and no-shows. If you are unable to attend a scheduled session:

  • No refund will be issued for cancellations made at any time, including last-minute or same-day cancellations.
  • No refund will be issued for no-shows (failure to attend without prior notice).
  • Cancellations and no-shows do not entitle the registrant to credit toward future programs.

Rescheduling. We understand that schedules change. In certain circumstances, we may, at our sole discretion, allow you to transfer your registration to a future session of the same program. Rescheduling requests must be submitted in writing at least five (5) business days before the original session date. Approval of rescheduling is not guaranteed and is subject to availability.

Company-cancelled sessions. In the rare event that AMA Quality Consulting must cancel a scheduled training session or workshop, registered participants will receive either a full refund of their registration fee or a credit toward a future session, at the participant's election. We are not responsible for any incidental costs incurred by participants (such as travel or lodging) in connection with a cancelled session.

Policy and procedure development services

Scope of work. Policy and procedure development engagements involve the creation, revision, or formatting of organizational policies, standard operating procedures (SOPs), quality manuals, and related documentation. Because this work is highly customized and requires substantial time and expertise from our team, all fees associated with policy and procedure development are non-refundable once work has commenced.

Drafts and revisions. Our policy and procedure engagements typically include an agreed number of review rounds and revisions as specified in your service agreement. If you are not satisfied with an initial draft:

  • You are entitled to request revisions within the scope and revision rounds outlined in your agreement.
  • Feedback must be submitted in writing within ten (10) business days of receiving a draft; failure to respond within this window may result in the work being deemed accepted.
  • Requests for revisions outside the agreed scope may be accommodated at our standard hourly rate; no refund will be issued for work already completed.

Client responsibilities. The quality and accuracy of policy and procedure documents depend significantly on your organization providing timely and complete information, including existing documentation, templates, or style guides; review and approval of drafts within agreed timelines; and access to subject matter experts when required. Delays, incomplete information, or changes in scope requested by the client do not entitle the client to a refund and may result in additional fees.

Intellectual property upon delivery. Upon receipt of full payment, all finalized policy and procedure documents developed for your organization become your property. However, if an engagement is terminated prior to completion and fees remain outstanding, AMA Quality Consulting retains all rights to any work product until payment is received in full.

Payment disputes and chargebacks

We are committed to resolving any concerns or dissatisfaction directly with our clients. If you have a concern about a service, deliverable, or charge, we ask that you contact us before initiating a chargeback or payment dispute with your bank or credit card provider.

Initiating a chargeback or dispute for services rendered in accordance with an agreed scope is a violation of this policy and your service agreement. We reserve the right to pursue all available remedies - including collection of outstanding amounts and legal action - in response to unwarranted chargebacks.

To raise a billing concern, please contact us in writing with your name, invoice number, and a description of the issue. We will respond within five (5) business days.

Our commitment to quality

While our fees are non-refundable, our reputation is built on delivering measurable value to our clients. If you are unsatisfied with any aspect of our work, we encourage you to reach out. We will make reasonable efforts to address your concerns, including:

  • Clarifying deliverables or scope if there is a misunderstanding
  • Revising work within the agreed scope to better meet your needs
  • Discussing solutions that serve both parties

Our goal is for every client to feel confident in the value they receive. Please do not hesitate to contact us if something is not meeting your expectations.

Exceptions

Refunds will not be issued except in the following limited circumstances:

  • Duplicate payment: If a billing error results in a duplicate charge, the duplicate amount will be refunded promptly upon verification.
  • Company-cancelled training: As described in Section 4, if we cancel a training session, a refund or credit will be offered.
  • Written agreement: If AMA Quality Consulting has separately agreed in writing to a refund in a signed contract or amendment, that written agreement will govern.

No other exceptions apply. Dissatisfaction with a consulting outcome, disagreement with recommendations, or a change in your business circumstances do not entitle you to a refund.

Changes to this policy

We reserve the right to modify this Refund Policy at any time. Changes will be posted on our website with an updated effective date. The policy in effect at the time of your purchase or engagement will govern that transaction.
